Organisations
An organisation is the holder of an Athenode Pro subscription in your Athenode account. Athenode Pro is the Athenode server a team runs itself, with accounts, project roles and a licence. The organisation owns the subscription, the licence tokens and the install token of its Pro servers, and its only members are its billing administrators.
A billing administrator is an Athenode account that manages an organisation: its details, its other billing administrators, its subscription and its licence and install tokens. Every billing administrator has the same rights. An organisation is visible to its billing administrators only. Anyone else who opens its address reads "This organisation does not exist, or you are not one of its billing administrators."
An organisation holds no projects, specifications or plugins. The people who work on your Pro server have accounts on that server, which are separate from Athenode accounts and are managed on the server, as users and sign-in describes. A billing administrator needs no account on the Pro server, and a Pro administrator needs no place in the organisation.
You manage organisations in Athenode's web app at platform.athenode.com, signed in with your Athenode account. Open Organisations in the sidebar, or select Manage organisations on the Account page.
Find your organisations
The Organisations page lists, under Your organisations, every organisation you are a billing administrator of. Each row shows the organisation's name, its Pro tier and the status of its subscription, or "No subscription", and the number of its billing administrators. Select an organisation's name to open its page.
The organisation's page has these sections, in this order:
| Section | What it holds |
|---|---|
| Details | The name and the billing email |
| Billing administrators | The billing administrators, the pending invitations and the invitation form |
| Subscription | The Pro tier and its billing |
| License | The tier, seats, modules and features of the licence key, and the licence tokens |
| Install token | The install token |
| Delete organisation | Deleting the organisation |
When you choose a tier on the pricing section of the Athenode website, the Organisations page opens with the notice "Create or open an organisation to subscribe to" followed by the tier. Selecting an organisation, or creating one, then takes you to the checkout of that tier.
Create an organisation
You create an organisation before you subscribe to Athenode Pro, and you need one organisation for each subscription. Your Athenode account needs a verified email address, because an organisation's billing email is always the verified email of one of its billing administrators.
- Open Organisations.
- Under Create an organisation, enter a Name of up to 100 characters.
- Select Create organisation.
The organisation's page opens, and the organisation appears under Your organisations. You are its first billing administrator, and its billing email is your own email address. If your address is not verified, the page says "Verify your email address first: an organisation's billing email is your own verified email." Follow the link in the verification email and try again.
Rename an organisation
- On the organisation's page, in Details, change the Name. It holds up to 100 characters.
- Select Save.
The page shows "Saved." The new name appears in the list and on the organisation's page.
Change the billing email
The billing email is the address of the organisation's billing account: the invoices go to it, and Athenode writes to it about the organisation's library entries. It can only be the verified email of a billing administrator, so you change it to your own address.
On the organisation's page, in Details, select Use my email followed by your address. The button appears when the billing email is someone else's. The billing email changes at once and the page shows "Saved." The first subscription of an organisation needs the billing email to be the address of the billing administrator who subscribes, as the billing page describes. After that first checkout, the organisation keeps the billing account it was given, and changing the billing email does not move its invoices to the new address.
Invite a billing administrator
Invite a second billing administrator so that someone else can manage the subscription and the tokens when you cannot. An organisation always keeps at least one.
- On the organisation's page, in Billing administrators, enter the person's email address under Invite by email.
- Select Send invitation.
The page says "Invitation sent to" and the address, and the invitation appears under Pending invitations with "Expires on" and its date. Athenode emails the person an invitation with a button that opens the Organisations page. The invitation is valid for 14 days.
An invitation to an address that already belongs to a billing administrator of the organisation is refused. So is a second invitation to an address that has a pending invitation: the page says "An invitation to this email is already pending." Revoke the pending invitation first, or wait until it expires, to send a new one.
Accept an invitation
You accept an invitation with the Athenode account whose verified email address is the one the invitation was sent to.
- Sign in to Athenode's web app with that account and open Organisations.
- Under Invitations, find the organisation. The row says "Sent to" and your address.
- Select Accept.
The organisation moves to Your organisations, and you have the same rights as every other billing administrator. If you create your Athenode account after the invitation was sent, signing in for the first time with the invited, verified address accepts every invitation to it, and the organisations appear under Your organisations at once. An invitation to another address, or one that expired, cannot be accepted. Ask a billing administrator for a new one.
Revoke an invitation
- On the organisation's page, in Billing administrators, find the address under Pending invitations.
- Select Revoke next to it.
The invitation disappears from the list and can no longer be accepted.
Remove a billing administrator
- On the organisation's page, in Billing administrators, find the person.
- Select Remove next to them.
The person is removed at once, without a confirmation, and loses access to the organisation's page, its subscription, its tokens and the library entries it owns. The last billing administrator cannot be removed. While only one is left, the button is disabled and the panel says "The last billing administrator cannot be removed."
Leave an organisation
- On the organisation's page, in Billing administrators, find your own row, marked You.
- Select Leave.
You leave at once, without a confirmation, and the Organisations page opens without the organisation. To come back, ask a billing administrator to invite you again. The last billing administrator cannot leave. Invite another billing administrator first, or delete the organisation.
Delete an organisation
You delete an organisation when it no longer needs Athenode Pro. An organisation whose subscription has not ended cannot be deleted, and a cancelled subscription ends at the end of its current period. Cancel the subscription and wait until that date first.
- On the organisation's page, in Delete organisation, select Delete organisation.
- Read the Delete this organisation? dialog and select Delete.
The organisation is deleted and the Organisations page opens without it. If its subscription has not ended, the dialog says "This organisation still has an active subscription. Cancel it and wait until it ends, then delete the organisation." and nothing is deleted.
Deleting an organisation does this:
- Its licence tokens are deleted, so its Pro servers can no longer renew their licence key. Each server keeps its current key until that key expires, as the Pro licence describes.
- Its install token is revoked, so Athenode Pro can no longer be installed or updated with it. Installed servers keep running.
- The library entries it owns are unpublished from the plugin library.
- Its billing administrators and its pending invitations are removed.
Warning
Deleting an organisation cannot be undone. A new organisation needs a new subscription, new licence tokens and a new install token.
Organisations and deleting your Athenode account
While you are the last billing administrator of an organisation whose subscription has not ended, your Athenode account cannot be deleted, and the deletion names the organisation. Invite another billing administrator, or cancel the subscription and wait until it ends. When your account is deleted for good, every organisation you were the only billing administrator of is deleted with it, and you leave the others.
